​​POSITION SUMMARY

This position is responsible for assisting the project team(s) with contract administration of assigned projects, including but not limited to, timely compilation of bids, letting of contracts and billing; and for facilitating job-related communications with other persons, including subcontractors, vendors, insurers, and clients; for operating office equipment; for assisting with job-related bookkeeping; and for performing relief and/or back-up duties and responsibilities for the receptionist.  An individual in this position will be expected to perform additional job related responsibilities and duties as assigned and/or as necessary.

Pay Range: $19 - $25 Hourly
Days: Monday - Friday
Hours: 8:00AM - 5:00PM
Home Office Location: Jacksonville, FL (Southside)
NO REMOTE OR HYBRID POSSIBILITIES.  MUST BE WILLING TO WORK ON-SITE.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Develop and present to supervising Project Manager at your annual review a plan for your professional growth and development, including professional goals for the forthcoming year.  This plan should include enhancement of at least one existing skill or development of a new skill (i.e. computer skills, expand use of existing software, research of appropriate new software).  Affiliation with or membership in a work-related association is highly desirable.
  • Assist project team with tracking of subcontractor compliance reports
  • Assist Project Managers with timely contract administration of all jobs, including but not limited to, forwarding signed contracts to owners/design professionals, preparation of statutory notices, compilation and distribution of job packets to supervisory field employees, securing signed contracts from subcontractors together with verification of all subcontractor insurance and safety training requirements, and preparations of job invoices
  • Process employment applications and assists in other employment activities
  • Process invoices for routing, coding, approval and payment in accounting software
  • Together, with project team, set up and maintain job logs, job files, including job coding, filing, scanning
  • Operate and oversee the proper maintenance and functioning of relevant office machines, including but not limited to those located in admins office
  • Assist with in-person and telephonic reception; open, sort, and forward company mail
  • Assume other responsibilities as assigned by the supervising PM / Superintendent
  • Assist with review of payments to owners and subcontractors, including verification and processing of all payment application requirements
  • Process waivers, contract forms, change orders, notices to subcontractors, changed conditions, construction schedules, and purchase orders as assigned
  • Always present yourself in a professional manner that enhances the reputation of the company
  • Assist Project Managers with all other requested areas of project coordination, including but not limited to attending project meeting as assigned, recording and distribution of minutes of such meetings
  • Assist PM and field supervisors with dissemination, collection and maintenance of records of project safety training and site inspections
  • Attend all scheduled staff meetings and company functions that arise from time to time, including those scheduled before or after normal work hours (early mornings, evenings, weekends)
  • Assist PMs with submission of selected projects for construction awards
  • Assist project team in submitting time for payroll purposes
  • Track and record field office (if applicable) preparation, including posting of statutory notices, preparation and file notice of commencements, provision of first aid kits, injury re-post forms/instructions and OSHA logs, ordering water supply, and advising appropriate parties of location of new field office
  • Must be willing to travel if required

EDUCATION AND EXPERIENCE REQUIREMENTS
  • Associates Degree from 2 year college or university
  • 1-3 years related experience and/or training
  • OR equivalent combination of education and experience
