International insurance defense firm located in lower Manhattan seeks an experienced Legal Secretary– Litigation.  The base salary is $50K - $65K with a full benefits package. Initial onboarding and working location will be remote.  However, it is expected that the position will eventually be on-site.

Primary Duties

The Legal Secretary will primarily support an extremely busy and dynamic Partner who oversees the firm's insurance subrogation practice and will be required to assist two to three associates as well. While paralegals will be considered for this role, this is a legal secretary position with heavy administrative responsibilities, including answering phones, greeting visitors, and communicating with clients, attorneys, etc. in a fast-paced environment. Other responsibilities include:

  • Secretarial and administrative assistance
  • Dictation
  • Drafting and redlining legal documents, including discovery pleadings
  • Managing the flow of partner emails
  • E-filing of federal and state motions
  • Client reception and answering phone
  • Maintaining calendars and appointments
  • Sorting mail and packages and distribute to appropriate staff
  • Managing legal files and records:  organizing, copying, filing, scanning, faxing, filing
  • Office inventory and supplies management
  • Preparing and coordinate legal correspondence and reports
  • Other administrative duties as needed


  • 5 – 7 years of legal secretarial/administrative support experience at a law firm or the legal department of a corporation
  • Excellent typing skills: fast and accurate
  • Prior knowledge and exposure to litigation procedures and processes
  • Prior insurance subrogation experience is a huge plus
  • Prior experience in E-filing of federal and state motions
  • Proficiency in Microsoft Office Suite (Word, Outlook, Excel, and PowerPoint)
  • Proficiency with legal programs billing programs, i.e. iManage 
  • Excellent oral and written communication skills
  • Strong time-management skills
  • Attention to detail and exceptional organizational skills
  • Courteous and professional demeanor
  • Ability to prioritize and meet deadlines
  • Solid client service skills
