RESPONSIBILITIES:
This position will provide administrative support functions required of the executive staff based at this facility. Specific Duties and Responsibilities include:
· Aids with all administrative functions including coordination of daily planners/meeting schedules and manages the business affairs of executive team members (not including the CEO).
· Composes correspondence for executive team members as requested. Reads all outgoing correspondence prepared for the executive team approval and alerts writers to any conflicts or departures from policies or viewpoints.
· Initiates/arranges travel schedules including flight schedules, rental cars, and accommodations for the executive team.
· Coordinates organizational meetings, luncheons, etc. as necessary.
· Notes commitments made by the executive team during meetings and arranges for staff implementation.
· In an executive team member’s absence, ensures that requests for action or information are relayed to the appropriate staff member.
· As needed, interprets requests and helps implement executive team directives. Notifies appropriate executive team of important or emergency matters.
· Responsible for maintaining/reporting comprehensive and accurate meeting minutes as requested or needed.
· Checks for grammatical consistency, proper format, general accuracy, and uniformity of material being typed.
· Because of the highly confidential nature of the matters handled, exercises the utmost tact and discretion to keep information confidential and safeguards the security of conversations, correspondence, and records and files.
· Provides coordination/support/leadership at Company sponsored philanthropic events/activities.
· Position requires compliance with the Technology Control Plan and the Federal Export Control Policy established for the Corporation.
EDUCATION REQUIREMENT(S):
· 2 to 4 years of college or equivalent (Bachelor's degree preferred).
EXPERIENCE REQUIREMENT(S):
· Requires at least 5 years of experience as an Administrative Assistant
· Expert knowledge of Microsoft Office products
· Expert level written and verbal communication skills, strong decision-making ability and attention to detail are equally important.
· The ideal candidate will be experienced in handling a wide range of administrative and support related tasks and must be able to work independently with little supervision.
· This position requires high degree of organization and must be comfortable with changing priorities.
· The ability to interact with executive staff in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role.
