California Builder Services, a well-established independent consulting firm serving real estate developers and Homeowner Associations throughout California, is currently searching for an experienced Administrative Assistant to the President/CEO.  In this position, professionalism and accuracy should go hand-in-hand with flexibility and a sense of humor.  If you thrive in a professional support role and being connected to the top strategic action, we’d like to hear from you.

 

Essential Duties include, but are not limited to:

 

  • Exercises initiative and judgment in responding to incoming calls, internal and external requests, and promptly refer to the appropriate party for resolution when necessary.
  • Provides administrative support to the CEO; effectively composes a variety of correspondence; maintains confidential files.
  • Maintains calendars and makes necessary arrangements for appointments and meetings.
  • Makes travel arrangements with accuracy, proficiency, and completeness.
  • Reviews payroll for accuracy and submits for processing.
  • Monitors supplies and reorders with cost-efficiency.
  • Answers telephone calls and greets visitors in a friendly, professional manner.
  • Assists and supports special projects as assigned.

  • Ability to foresee needs and act independently to keep the organization running efficiently.
  • Min. High School diploma and two (2) years of directly related experience in a professional environment.
  • Intermediate to advanced computer skills (Microsoft Office), the ability to navigate the internet to schedule travel arrangements. 
  • Experience in setting up video conferencing – Zoom, WebEx, Google Meet.
  • Must have excellent communication skills – verbal, written, and interpersonal, professional appearance, phone etiquette, strong organizational skills, and the ability to multi-task with a high level of attention to detail required.
  • A valid California Driver’s License is required.
