We are seeking an Office Administrator who shares the Ardon vision. This position  ensures proper flow of office procedures, maintains the condition of the facility and supports company leadership by carrying out common office duties. Maintains a positive and friendly company image by acting as the first line of contact to visitors, customers, and vendors in person, online, and via telephone when needed. Provides administrative assistance to assigned Executive team and others as needed, to achieve the goals and objectives of the company as a whole. This includes, but is not limited to, managing calendars, scheduling large group meetings both internally and externally, handling of confidential documents and information, gathering information and preparing reports, customer service (emails, calls, in-person), coordinating travel, expense reporting, supplies management and catering.

Primary Functions:

  1. Coordinates with Ardon staff, facilities personnel, and external vendors including cleaning and service contractors to maintain the condition of the Ardon facility.
  2. Manages and maintains a clean and orderly environment in all Ardon common spaces, including meeting, conference, and training room spaces, and assists with A/V equipment setup as needed.
  3. Arranges meetings by scheduling appropriate meeting times, booking rooms, and planning refreshments.
  4. Handles a variety of expenses, expense reporting and record keeping.
  5. Maintains stock lists and orders office and breakroom supplies as needed.
  6. Provides administrative support for Executives (including Vice Presidents, the President, and others) on an as-requested basis, including preparing correspondence for both internal and external viewing. 
  7. Manages all travel arrangements for Executives and occasionally for employees who report to them.
  8. Supports Executives by preparing all requested documents and reports in a professional manner.
  9. Maintains responsibility for organization of workflow room, to include putting away supplies in a timely manner.
  10. Responsible for the coordination of requested company festivities (e.g., anniversary party, holiday party, potlucks, team lunches, etc.), including facility decorations, staff appreciation, and celebration.  
  11. Assists in coordinating Ardon business forums; tracks invitations and RSVPs, sends reminders internally and externally, creates nametags for all guests, and keeps a current guest list.
  12. Greets guests, facilitates security sign in, and provides support when needed in the reception area.
  13. Regular attendance in conformance with the standards, which may be revised from time to time, is essential to the successful performance of this position.
  14. Actively participates and provides support as needed to leadership and quality program staff to ensure activities related to the company’s quality management program and quality improvement activities maintain priority focus and are effectively executed. This may include but is not limited to activities that promote objective and systematic measurement, monitoring, and evaluation of services and defined Quality Improvement Projects (QIPs) that may result from such efforts.
  15. Complies with the company’s Human Resources policies, Employee Handbook, Code of Conduct, and all department policies and procedures, including protecting confidential company, employee, and customer information; attending work punctually and regularly; and adhering to good safety practices in all activities.
  16. Performs other duties and projects as assigned.

Job Conditions:

  • Constant sitting and standing, heavy lifting, and extensive keyboard work. 
  • Work tasks are performed predominately indoors. 
  • Must have the ability to bend, squat and occasionally lift up to 25 lbs.
