Summary

The successful candidate will be an organized, confident, friendly, articulate, detail oriented, resourceful, flexible person who takes ownership and responsibility of tasks and can act independently or as part of a team as required by the circumstance.

The candidate must possess the ability to work well with all levels of internal management and staff, as well as outside business partners.

Primary Responsibilities

  1. Greet guests & notify employees when their guests arrive
  2. Add guests into iVisitor as needed
  3. Answer main line phone, respond to or forward voicemails to necessary employees
  4. Use Robin system to book showrooms
  5. Correspond with building maintenance / management for work orders
  6. Sign for packages, create labels for packages using UPS system
  7. Collect shipping approval forms and provide to coordinator weekly
  8. Assist operations team in setting up events
  9. Correspond with outside IT company for on-site visits, printer issues, etc.
  10. Ensure reception area is tidy and presentable
  11. Run errands as necessary (minimal – on occasion will need to make a trip to the post office or pick something up)
  12. Back up for operations coordinator as needed

Skills & Requirements:

  1. Must have prior experience as a receptionist
  2. Pleasant personality, sense of humor & professional appearance
  3. Ability to operate effectively & efficiently in a fast-paced environment
  4. Must exhibit excellent attention to detail and good organizational skills
  5. Must have a working knowledge of Mac computers, MS Office. (Word, Excel, Outlook, etc.)
  6. Must be energetic, highly motivated and able to multi-task
  7. Must take ownership of tasks and be able to follow through independently
  8. Excellent written, interpersonal and communication skills – the person in this position will be communicating with all employees and guests 
  9. Ability to maintain an open dialogue with supervisors in order to meet office needs efficiently
