Corporate Operations Assistant
Stafford, VA (Hybrid)
@Orchard has been retained to assist our client, a Hawaiian native super 8(A) firm with multiple professional services engagements in the areas of Information Management, Supply Chain, Program Management, and technical solutions. They are seeking an energetic, self-starting Office Assistant to support the operations team at the company’s satellite location in Stafford, Virginia with hybrid Telework. The successful candidate will assist the Director of Operations by providing administrative support, tracking business activity, delivering quality customer service, and collaborating effectively with senior management. In this role, you may juggle multiple projects simultaneously, necessitating time management, multitasking, and organizational skills. Performance of a variety of administrative tasks.
As a Corporate Operations Assistant, you will perform a variety of tasks that will include:
Operations Support- Coordinate with Corporate IT on asset management
- Facilitate office supply and IT order requests
- Assist with internal document management
- Manage Corporate communications
- Assist with employee morale programs
- Light meeting and event planning
- POC for new hire onboarding items (backpacks, badging, etc).
- Partner with Corporate HR to maintain and communicate office policies as necessary
- Maintain proficiency with the Applicant Tracking System
- Conduct initial candidate screening, coordinate and schedule interviews
- Coordinate with IT for onboarding materials for new hires
- Monitor, track, and maintain office supplies inventory for all office locations
- Review supply procurement with the accounting manager
- Receipt management, retainment, and reconciliation
- Data entry, filing, spreadsheet management
- Attend meetings with the Corporate Operations Department
- Office management
- Conduct independent research as directed
- Update databases as requested
- Manage mailings and databases
- Enter expenses in the budget spreadsheet
- Assist with client project deliverables, as requested
Experience and Qualifications:- 4 Year Degree from an accredited University
- Must be in the Northern Virginia, Maryland, D.C. area
- Excellent written and verbal communication skills
- Strong interpersonal skills
- Proficient in MS Office.
- Knowledge of human resources management practices and procedures
- Office management, administrative or assistant experience
- Knowledge of office management responsibilities, systems, and procedures.
- SharePoint
- Applicant Tracking System (ATS)
- Superb time management skills with the ability to multi-task and prioritize work
- Strong attention to detail and problem-solving skills
- Ability to work independently within established guidelines
