As the Office Manager / Bookkeeper, you’ll provide project management, business development and initiative support, as well as operational and reporting assistance to the CEO and VP of Corporate Services.

  • Wo Works with CEO and VP of Corporate Services on specified initiatives, as well as project and practice management improvements to enrich the producer experience and meet Agency goals
  • Manages assigned day-to-day business issues and projects that arise in the organization
  • Completes day-to-day Bookkeeping items to ensure Bookkeeping Account Manager has all necessary items to complete the Agency books
  • Compiles recruiting status tracking and prepares and distributes summary reports
  • Completes periodic and annual maintenance and updates of assigned documents (Partnership Agreement, Agency Contingency Plan, GBF Master Checklist, etc.)
  • Assists with Agency event preparation
  • Provides input and support to CFO & VP of Corporate Services for annual Budget
  • Responsible for the administration, reporting and communication of the Producer Recognition (monthly Leader Boards, etc.)
  • Responsible for creation and maintenance of in-house L&H and Securities license reminders, expiration and designation process
  • Creates and maintains bi-weekly agenda for Leadership Production meetings
  • Works with VP of Corporate Services and Bookkeeping Account Manager to keep Producer/SM deals current and maintain timely reminders of when deals change/terminate etc.
  • Executes on high level on-boarding and off-boarding tasks as required
  • Facilitates MassMutual Academy registration
  • Manages Producer invoices, billing, set up and termination (including MassMutual Academy billing). Responsible for Producer collection efforts and charge-off procedure
  • Handles facility relationship for on-boarding – obtaining paperwork from New Hires for badges and parking, seating assignment and keys, desk nameplates etc. and works with other departments to ensure a smooth transition
  • Handles facility relationship for off-boarding of Producers/staff/management – clean out desk, obtain badge and keys, etc.
  • Direct manager of Front Desk personnel including development and performance management
  • Administrative support as needed/requested
  • Searches for best practices in all departments/areas
  • Handles confidential business matters and works independently on special assignments
  • Ensures office organization and tidiness
  • Special projects as assigned

  • Bachelor’s degree
  • 3-5 years of experience working as an Office Manager providing support to an Executive Team
  • Bookkeeper experience is required
  • Experience in the Financial Services Industry
  • Proficient with QuickBooks and Sage
  • Strong Microsoft Office skills (Outlook, Word, Excel, and PowerPoint)
  • Good technology skills
  • Insurance product knowledge (life, disability, and long-term care) a plus
