Sands Investment Group, a top commercial real estate brokerage firm and Inc 5000 Company,  based in Charleston, South Carolina, is seeking an Executive Assistant to support their CEO as a dedicated right-hand and gatekeeper. As a family owned business, the Executive Assistant serves as a primary point of contact for all matters pertaining to the CEO and leadership team while also working closely with the family to support them in all professional matters. 


Executive Assistant Position responsibilities include:

  • Maintain complex Google calendars by scheduling, coordinating, and updating meetings for CEO 

  • Assist CEO in operational and administrative duties related to office growth and expansion as well as partner investments

  • Organize and keep up-to-date all documents pertaining to passwords, credit cards, payments, taxes, and other important information

  • Interface with accounting firm to execute personal and professional tax returns

  • Manage and schedule arrangements for both personal and business travel which includes flight, hotel reservations, rental cars, event registrations/reservations, meetings, etc. 

  • Assist with incoming and outgoing communication - listen to voice messages and answer/respond to inquiries on behalf of CEO

  • Handle, organize, and oversee the CEO’s email inbox and google drive

  • Organize and disseminate meeting notes and action items to key stakeholders following meetings with CEO as necessary

  • Oversee and manage the day to day administration of the Charleston office spaces. Order supplies, plan birthday and life milestone celebrations, communicate with property manager and cleaning service, schedule maintenance and repairs as needed

  • Coordinate Charleston team and SIGives events, VIP / client events, board meetings, partner meetings, and other internal company meetings with leaders across the country

  • Ongoing administrative duties include but not limited to scanning and filing documents, as well as overseeing incoming and outgoing mail and packages

  • Support CEO on involvement in several non-SIG investment and growth strategies which include interfacing with banks, filing paperwork, recording notes as necessary

  • Develop systems and strategies to streamline and improve all operations within the CEOs professional life 

  • Create, edit and finalize presentations as well as oversee meeting preparation for all business related matters


Successful candidates will have:

  • 4-5 years’ experience in an administrative or personal support/assistant role to a C-suite Professional

  • Past experience as an assistant to an entrepreneur/business owner is preferred

  • Highly resourceful and organized team player who is comfortable working closely with C-suite positions

  • Clear, concise, and respectful communication (internally and externally) as the gatekeeper to the face of the company

  • Ability to multitask and prioritize conflicting needs while handling matters expeditiously and proactively

  • A strong sense of confidentiality as well as honesty, trustworthiness, integrity, kind-heartedness, and discretion

  • Ability to anticipate the needs and expectations of the CEO by being proactive rather than reactive

  • Energized by a changing environment/priorities, time-sensitive tasks, and multiple demands

  • Tech savvy and experience with standard platforms (e.g., Google Suite, Microsoft Suite, DocuSign, Adobe, Salesforce CRM databases and research tools).

  • Experience handling and managing someone else’s email and voicemail
