Required Education and Experience:

  • Master’s Degree in General Business Administration or a related degree from an accredited University/College with 8 years of secretary experience (minimum 2 years’ experience working in a senior-level office, or
  • Bachelor’s Degree in General Business Administration or a related degree from an accredited University/College with 10 years of secretary experience (minimum 4 years’ experience working in a senior level office), or
  • Associate’s Degree in General Business Administration or a related degree from an accredited University/College with 14 years of secretary experience (minimum 6 years’ experience in a senior level office), or
  • High School Diploma with 20 years of secretary experience (minimum 8 years’ experience working in a senior level office

Functional Responsibility:

  • Perform data entry and maintenance of stored data/records in established databases, spreadsheets and other electronic data/record tracking and repository systems.
  • Assist with the preparation of materials needed for travel.
  • Support creation of Staff Summary Sheets (SSS) and staffing of documents for review and/or signatures.
  • Establish and maintain both hardcopy and computer based filing systems, to include performing routine filing of various office data/record files.
  • Operate Information technology (IT) equipment(e.g., copiers, scanners, facsimile machines, computer workstations, phones, teleconference/video teleconference equipment) for administrative tasks.
  • Create and staff documents for review and signature.
  • Assist with the preparation of materials needed for executive travel.
  • Perform data entry and maintain stored data records in appropriate databases.
  • Create spreadsheets for administrative actions.
  • Record keeping.
  • Maintain filing system, hardcopy and electronic.

Qualifications:

  • Proven experience in the secretary profession directly supporting an office environment with senior leadership personnel serving in the grades of SES/DISL or at the Flag Officer level.
  • Strong working knowledge of office information technology (IT) equipment (e.g., copiers, scanners, facsimile machines, computer workstations, phones, teleconference/video teleconference equipment) with the ability to independently operate such equipment in completing administrative tasks.
  • Strong working knowledge of MS Office software applications (i.e., Word, Excel, PowerPoint, and Outlook: Mail, Calendar, and File Functions) with the ability to independently use these applications to efficiently complete office administrative tasks.

Preferences:

  • Professional Certification directly related to office management or program management.
  • Proven experience in the secretary profession directly supporting an office environment with senior leadership personnel serving in the grades of SES/DISL or at the Flag Officer level.
  • Strong working knowledge of office information technology (IT) equipment (e.g., copiers, scanners, facsimile machines, computer workstations, phones, teleconference/video teleconference equipment) with the ability to independently operate such equipment in completing administrative tasks.
  • Perform data entry and maintenance of stored data/records in established databases, spreadsheets and other electronic data/record tracking and repository systems.

Working Conditions:

Work is typically based in a busy office environment and subject to frequent interruptions. Business work hours are normally set from Monday through Friday 8:00am to 5:00pm, however some extended or weekend hours may be required. Additional details on the precise hours will be informed to the candidate from the Program Manager/Hiring Manager.

Physical Requirements:

May be required to lift and carry items weighting up to 15 lbs. Requires intermittent standing, walking, sitting, squatting, stretching and bending throughout the work day.

Background Screening/Check/Investigation:

Successful Completion of a Background Screening/Check/Investigation will/may be required as a condition of hire.
