Title of Position: Proposal Specialist

Job Function: 

  • Generates and prepares accurate proposals, bids, and presentations by collecting and reviewing information then inputting, editing, retrieving, and copying data, text, and graphics as needed
  • Maintain proposal materials in an organized manner including resumes, project references, proposals, standard content, and images
  • Responsible for producing compliant, cohesive, well-organized, and professional proposal packages
  • Manage timelines carefully and capable of serving as a project manager for proposal opportunities, keeping the team and document on task to deliver a complete and final document on time
  • Ability to identify specific tasks, assign responsibilities to subject matter experts, and define expectations
  • Manages multiple proposals / projects at a time and prioritizes appropriately to meet strict deadlines
  • Coordinate proposal production process, including printing, binding, mailing, or electronic delivery
  • Grow knowledge and be aware of best practices and market trends
  • Provide direct support to the Business Development Team as needed
  • Review and monitor industry bid lists, websites, and other sources to identity new solicitation opportunities
  • Coordinates trade shows; may staff trade show and promotional events as needed
  • Other office duties as assigned, including word processing and inputting data

Work Experience:

  • 2 or more years’ experience in preparing engineering and construction proposals, case studies, presentations, and bids
  • Familiarity with proposal submission requirements and procedures is preferred
  • Bachelor’s Degree in Marketing, Communications, Business, English, Journalism, or related field is required
  • Superior MS Office (Word, Excel, PowerPoint, Outlook) and graphics applications skills
  • Excellent writing and word processing skills
  • Excellent oral communication skills and ability to communicate with multiple levels of management
  • Strong attention to detail and accuracy is an absolute must, including proofreading and grammar
  • Professional positive attitude and excellent phone etiquette
  • Ability to prioritize and multi-task in a fast-paced environment
  • Must be able to work both collaboratively with a team and independently
  • Strong organizational skills to ensure the ability to manage simultaneous / multiple deadlines
  • Good critical thinking and problem-solving skills
  • Experience using Adobe Creative Suite (InDesign, Illustrator, Photoshop) is a desired skillset
  • Ability to work extended hours as needed
