Position Summary
The Imaging Office Assistant will receive, track, sort, prepare, and deliver all incoming mail to various departments.  Operate and maintain office equipment, including opex, omation, scanner and copier.  Prepare batches to be scanned in-house or sent to Symbeo while maintaining strict turnaround times. Data enter member, group and/or provider information into the system for processing. Prepare daily inventory and assist with any additional training on rotation tasks when necessary. This is an on-site position at our Milwaukie location.

Pay Range
$18.03 - $22.32 hourly, DOE.

Requirements:
  1. High school diploma or equivalent.
  2. At least 12 months experience in a production environment preferred.
  3. Ability to lift 20+ pounds and work in a fast-paced physical role.
  4. Ability to embrace process improvements and work well in a team-oriented environment.
  5. Proficiency with Microsoft Office applications.
  6. Typing ability of 35 wpm.
  7. 10-key proficiency of 135 kspm.
  8. Proficient with prioritizing tasks and completing them with high accuracy and speed.
  9. Ability to work well under pressure with frequent interruptions and shifting priorities.
  10. Demonstrates effective reading, writing and oral communication skills.
  11. Skilled in handling multiple tasks.

Primary Functions:
  1. Receives, tracks, sorts, prepares, and delivers all incoming mail incoming mail throughout the company which includes inter-office mail, packages, letters, claims, and certified mail.
  2. Sorts and prepares medical and dental claims for both in-house scanning and for vendor handling.
  3. Locates or stores claims to be filed, rescanned, returned to provider’s office or send to various departments for processor review as needed.
  4. Scan paper x-rays
  5. Lifting and pulling stacks of claims and stacked bins and mail trays.
  6. Receives and tracks all outgoing and incoming Symbeo batches.
  7. Monitors and ensures a strict turnaround time for all mail received, including scanning, batching, and indexing.
  8. Receives, prepares, and batches special handled sorting tasks. This includes Medical Correspondence, member appeals, returned mail (Bad Address), Business Reply Mail and prescription claims to send to MedImpact for processing.
  9. Prepares, calculates, and distributes Daily Inventory to Dental/Medical Claims Management Team.
  10. Ensures mail distribution area is clean, organized, and always maintained to ensure effective workflow.
  11. Ensures proper maintenance of office equipment, such as the Omation, Opex, copier, and scanner. This includes vacuuming, removing parts to clean from debris and replacing worn out or broken parts.                         
  12. Data Enters claims and selects the correct member and provider using computer, including indexing specific key requirements. 
  13. Performs other duties as assigned.

Contact with Others
Internally with various departments.  Externally with members, providers, brokers, etc., when covering reception desk.

Working Conditions
Office environment with extensive close PC and keyboard work, constant sitting, and phone work. Must be able to navigate multiple screens. Work in excess of 40 hours per week, including evenings and occasional weekends, to meet business need.
