Job Title:             Dispatcher

Reports to:         Terminal Manager

FLSA:                     Non-Exempt

 

Summary

 

The Dispatcher has the responsibility for portions of the terminal operation and supporting structures related to drivers and the picking up/delivering of customer’s household goods; coordination and/or delegation the work of local operations in the areas of: Pickup and Delivery operations, claims prevention, determination of amount of manpower hours and staffing.

 

 

Essential Duties and Responsibilities:

  • Plan, direct and control operations in line with our intent of always servicing the customer first.
  • Attain specific operational goals and standards: On-time Service, DOT compliance. Empower and hold others accountable in achieving same goals and standards.
  • Effectively use Dispatch System, oversee the preparation and coordination of routes and dispatch drivers.  Ensure all household goods are ready for all Southbound and Northbound jobs according to service standards, customer requirements and deadlines.
  • Handle phone calls from customers and crew members in a prompt and professional manner. Assist terminal office staff with customer service phone calls regarding scheduling appointments, tracing, customer problem resolution, etc. 
  • Support both Operations and Sales efforts within the terminal as well as with other terminals.
  • Recognize and/or reward employee contributions through verbal acknowledgement
  • Addressing negative or inappropriate behavior, with help in resolving the issue.
  • Properly communicate company policies and plans to all associates and communicate employee feedback to the appropriate department / terminal.
  • Ensure the work environment within the terminal is customer focused, positive and based on trust and respect.
  • Hold effective bi- weekly meetings with dispatch and drivers.
  • Pursue personal development opportunities and encourage others along the same path.
  • Work closely with Human Resources Department to ensure compliance with company policy and external regulations.
  • Verify that all driver documentation is being completed and returned in accordance with company procedures and guidelines. 
  • Handle other duties as assigned.
  • Addressing equipment safety, maintenance, company trucks and not limited to warehouse equipment such as forklifts.

     

Essential Safety Responsibilities:

  • Ensure compliance with all applicable Federal and State regulations.
  • Ensure compliance with all company safety practices and procedures.
  • Communicate with the Corporate Safety and Security Manager and Terminal Manager about any unsafe practices or sites and document.
  • Assist with accident or incident investigations when appropriate.
  • Ride with drivers and assess safe performance of job.

     

 

Experience:

  • Three to five years working experience in the motor carrier industry preferred, including knowledge of operations, clerical procedures, and DOT and HAZMAT regulations.
  • Must have previous management experience and ability to work well with and direct others. 
  • Must possess strong communication and leadership skills with the ability to foster open, honest two-way communication both internally and externally. 
  • Must be able to work hours as required and travel if necessary.
  • Must be prepared to assume shift operations with little or some advance notice.
  • Familiar with Windows, Excel , Word operating systems and Outlook .

     

    Education:

  • Bachelor’s degree in business administration, management, logistics, or related is highly preferred or an equivalent combination of training and work experience.

 

Language Skills:

  • Employee must have the ability to read and write the English language.
  • Must have the ability to communicate with customers and employees in an professional manner.
  • Have the ability to complete bill of ladings, load manifests, and review of pre-trip inspection forms in accordance with company and regulatory agency requirements.

     

    Reasoning Abilities:

  • Applicant must have the ability to solve practical problems and deal with a variety of in-house and customer situations in a positive and professional fashion.

     

    Physical Demands:

    The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to:

  • Must be physically able to walk the dock and in trailers on surfaces that may be slippery and wet at times, be able to move freight with or without aid of freight handling equipment, be able to bend, twist, climb and move about in small spaces, and able to lift and reach objects.
  • Lift and carry (50) pounds up to (25) feet.
  • Specific vision abilities for this job include close vision, color vision and the ability to adjust and focus with the aid of eye wear if needed.
