Position Summary: The Special Projects Coordinator reports to the Senior Executive of Strategy & Performance to evaluate organizational strategy. Planning, implementing and monitoring strategic initiatives require the position incumbent to build and maintain positive working relationships with internal staff and external stakeholders. The Special Projects Coordinator ensures data integrity within the agency and functions as the Florida Safe Families Network (FSFN) master data specialist; extracting and producing data sets from the FSFN reporting environment in addition to multiple other data sources. This position organizes, aggregates and compiles data in report formats and provides data support for quality improvement and quality improvement projects as need. This position will staff agency initiatives and ensure all special projects are integrated across the SOC in an efficient and effective manner. The Special Projects Coordinator will serve as the backup Data Security Officer and the Primary on Missing Children and Incident Reporting.

Essential Functions:

  1. Assist the Sr. Executive of Strategy & Performance and senior leadership manage the organization’s strategic initiatives.
    1. Actively garner executive support, employee involvement, effective organizational communication, and thoughtful and periodic analysis.
    2. Assist with the deployment of strategic implementation plans (both internally and with external partners) designed to meet agency goals and objectives, effectively organize data collection, compilation and utilization efforts designed to measure and drive strategic objectives.
    3. Work with the Sr. Executive of Strategy & Performance and Senior Leadership on identifying and reporting on relevant data to drive organizational performance and best practice.
    4. Work with internal organizational stakeholders to create goals and objectives to align with each strategy.
  2. Monitor objectives through operational metrics that drive desired outcome.
    1. Work with Sr. Executive of Strategy & Performance to identify problem areas and improve performance with recommended countermeasures with a focus on continuous process improvement.
    2. Communicate strategies/plans and translate them into priorities that make operational sense.
    3. Monitor, measure, and report on processes and outcomes.
    4. Deficient outcomes and processes should be readily identifiable and communicated to senior leadership.
    5. Work with internal/external stakeholders to develop a plan to close the gap between actual operational performance and defined objectives.
  3. Monitor, measure, and report progress with tangible results and improved metrics.
    1. Identify data requirements and assist with the development of required data compilation, analysis, and reporting.
    2. Work collaboratively with the senior leadership team to ensure staff members across the organization know how and why they’re important to all goals and objectives and how they impact the outcomes. Articulate and recruit clear visibility and accountability of the strategic
    3. objectives related to performance improvement, best practice, and outcomes for children and families.
    4. Participates in program or content teams for improvement activities or special projects.

 

Technical/Functional Expectations:

  1. FSFN/SACWIS Data Specialist: The position requires the incumbent to be an advanced user of the FSFN reporting environment for regularly scheduled and ad-hoc reports as this correlates to agency contract measures and scorecard performance. This position serves as the agency champion for FSFN functionality enhancements and build out, as well as participates on the statewide data workgroup.
  2. Serves as the backup Data Security Officer: This position will serve as the backup agency Data Security Officer; responsible for management of new users in multiple data bases in accordance with agency security agreements and protocols. It will also require termination of user’s for various reasons (e.g. termination, resignation, discipline, etc.)
  3. Extracts and Produces Data Sets from Multiple Sources: This position is responsible for extracting and producing data sets from multiple data bases; (such as FSFN and Mindshare TACF) performing data analysis as needed to identify trends and monitor, track and report outcomes.
  4. Organizes, Aggregates and Compiles Data in Report Formats: This position organizes, aggregates and compiles data for regularly scheduled forums such as the agency Operations Meeting and Board Meeting.
  5. Data Support for Quality Assurance Improvement: This position provides data support for quality assurance and quality improvement projects as needed to respond to performance deficiencies or other special projects as needed.
  6. Spreadsheets: Create spreadsheets with appropriate relevant data in order to provide others with organized statistical reports or graphs.
  7. Other duties as required: Job performance requires fulfilling other incidental or related duties as assigned, assisting and training others, and performing duties of higher rated positions from time to time for developmental purposes.

Business Experience:

  1. Navigating the FSFN reporting Environment: FSFN is the Statewide Automated Child Welfare Information System (SACWIS). It is utilized by the Florida Abuse Hotline; Child Protective Investigators; CBC Case Managers; Adult Protective Investigators; Legal; Licensing; and DCF Administration. Knowledge of FSFN functionality is a must as this is the official record of the child. This is essential to successfully identify appropriate reports for specific data requests. It is also important to know what extracts need to be pulled on a regular schedule or ad-hoc basis.
  2. Advanced Project Management Skills: This position requires advanced project management skills including sound organizational skills in order to manage projects and special initiatives through successful completion.

Educational and Experience Requirements:

  1. BA/BS – Bachelor’s Degree or Human Services experience required.
  2. MA/MS – Master’s Degree or equivalent preferred.
  3. Advanced Navigation of the FSFN Reporting Environment required.
  4. 2 to 5 years related experience preferred
