Position Purpose

Keeps accurate records of account receivables and other accounting transactions, posting to general ledger accounts, maintaining files, and managing collections.   

 

Essential Duties and Responsibilities

  • File and maintain all source files for receivable production and for receivable tracking.
  • Check, acquire, verify, and complete information necessary for accounts receivable production, posting, tracking and disposition of funds purposes.
  • Prepare deposits/funds transfers and associated journal entries.
  • Monitor payables from all branch offices and ensure that checks are batched according to released funds.
  • Answer vendor inquires and respond to vendor statements.
  • Analyze procedural and system problems to make constructive and effective recommendations.
  • Reconcile bank statements.
  • Reconcile foreign agent accounts settlement.
  • Calculate, produce and allocate to proper accounts, refunds, damaged goods accommodations, sub-contractor freight charges, rentals, and similar items.
  • Research, answer, and respond to customer inquiries.
  • Organize and prioritize duties is such a fashion to assure that schedules are met.
  • Must maintain information in the strictest of confidence. 
  • Perform other accounting department duties as assigned.
     

General Office Duties:

  • Order Supplies and maintain the 2nd floor supply room by keeping it neat and free of trash.
  • Run postage for USPS packages daily (potential drop at post office if able).
  • Open and distribute mail daily
  • Monitor receipt of vendor packets, insurance, C-TPAT documentation etc – scanning to server and updating operating system with required information.
  • Approve payables for overhead expenses such as phones, rent, postage etc
  • Prepare accounts receivable deposits as needed
  • Support and actively comply with the security duties and responsibilities  described in the C-TPAT Security Program document which was received and signed for upon hire.
  • Escort, announced visitors, to the proper office location when desired by staff member.
  • Maintains reception, front office public areas, and conference areas in a clean and orderly fashion.
  • Sign as receiver, enter tracking data, and distribute packages & courier pouches.
  • Prepare outgoing pouches to other Global offices weekly
  • Other duties as needed

 

Qualifications

           

Education and/or Experience

  • Associate's degree (A.A.) or equivalent from two year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.
  • Five years of accounting experience or 2 years of accounting focused training.
  • Employee must have a working knowledge of the A/R components of accounting software program.
  • Employee must be proficient utilizing a calculator 100 kpm, computer 40 wpm, fax and telephone.
  • Employee must have basic user knowledge of computer programs such as Word, Excel, Outlook.  
  • Employee must be customer service focused.
  • Accuracy in posting, counting, tracking, and filing.

           

Communication Skills

Ability to interact both interdepartmentally and with outside sources to ensure the customer needs/requirements are met. Communicates through written correspondence, phone, e-mail, and fax to acquire information/documentation and provide direction.

           

Mathematical Skills

Basic mathematical computations. Appropriately add and compute fees, compute trade discounts, taxes, balance accounts and check entries for accuracy.

 

Physical Environment

Employee must lift up to 30 lbs, sit for extended periods of time, stand for up to 1 hour at a time while filing and preparing mail/faxes, walk for up to 1 hour at a time to retrieve and deliver information, reach above head for files (up to 3 lbs), grasp, handle, and perform finger operations. Position requires the coordination of manual dexterity with mental and visual attention for sustained periods of time.  Must focus attention, both mentally and visually for extended periods of time to produce accurate work.  Must operate normal office equipment such as phone, computer, fax machine, and copy machine.

 

Work Environment

Normal office environment.  Employee travel will be minimal.
