Summary:  A Logistics Coordinator plays an integral part of the team to ensure customers are highly regarded and receive exceptional service.  While adhering to policies, procedures and regulatory requirements, make logical decisions to facilitate movement of freight in a fast paced and pressured environment. 

 

Work Schedule:    Monday – Friday, 8:00am – 5:00pm (requires flexibility or as assigned by management.) 

 

Essential Duties and Responsibilities:

  • Timely response to email and phone communications.
  • Create new customer profiles; verify credit with accounting; include contact details; enter EIN/IVU numbers; invoice requirements and all pertinent details. 
  • Prepare ocean documents for FCL and LCL cargo.
  • File AESDirect as required by U.S. Census on cargo exceeding minimum value.
  • Validate freight charges and assess costs associated with shipment; post and generate invoices to customers upon confirmation of sail for all FCL & LCL clients.
  • Enter and update shipment details and generate documents such as: receiving, bills of lading; manifest, forwarding instructions, and cartages, utilizing current BackOffice technology with CargoWise1.
  • Validate hazardous materials information, research and identify compatibility and provide IMO to ocean carrier for approval prior to delivery of container.
  • Communicate with dispatch to coordinate inland transport arrangements and provide cartages for contract carriers.
  • Work closely with Pricing and Sales Team to ensure rates are current and accurate.
  • Scan related documents and emails for each shipment into eDocs for easy access and visibility
  • Segregate and record inventory of cargo from daily shipping and receiving logs.
  • Rectify and/or report non-conformance issues for claims due to OS&D details.
  • Generate bi-monthly invoices for storage customers. 
  • Document and escalate any customer service issues and/or shipping/receiving errors to management.
  • Assist clients with product selection, coordinate transportation and establish load plans to maximize capacity of freight on FCL.
  • Create load plans on LCL refrigerated and/or dry cargo consolidations utilizing bulkhead and maximizing container for profitability while assuring regulatory compliance needs are met for compatibility and segregation of cargo. 
  • Make bookings with ocean carriers by providing critical details of cargo, temperature, equipment size, etc. and provide forwarding instructions for export manifest requirements to include values and ITN response numbers.
  • Enter weekly dispatch moves for contract carriers; assess fuel surcharges and assessorial to generate driver settlements.
  • Develop positive relationships with all carriers and logistically coordinate the timely acquisition and delivery of freight. 
  • Coordinate inbound and outbound of warehouse traffic.  Address problems with order flow or shipping delays and quality control issues such as damaged or improperly packed goods. 
  • Investigate and recommend optimal shipping options and coordinate movement with clients.
  • Ensure shipping compliance with state, federal and international regulations
  • Develop constructive and cooperative working relationships with those on your team, as well as cross-functionally.
  • Assist with training new individuals and support team members as needed.
  • All other duties as assigned.

Qualifications:

  • Minimum 2 yrs. industry experience and/or associates degree
  • Microsoft Office skills; Outlook Exchange and other industry related software.
  • Must be able to follow verbal and written instructions.
  • Must ensure quality assurance checks are completed for every transaction.
  • Project a positive attitude and professionalism at all times.
  • Be able to perform basic mathematical functions; numerical estimations; measurement and conversion calculations.
  • Ability to read and interpret policies & procedures; packing slips, bill of lading; commercial invoices and other related documents.    
  • Must have organizational and analytical skills
  • Be a problem-solver; decision maker and customer centric at all times. 
  • The ability to plan and prioritize workflow and make sound decisions to work with deadlines.
  • Must have both oral and written communication skills as the job primarily involves liaising with clients, carriers, suppliers and other operational departments. 

Language Skills:

  • Fluent in English, both written and oral
  • Bilingual in Spanish preferred but not required

Reasoning Abilities:

  • Works with Others & independently without supervision
