Summary

The Transportation Coordinator position for Caribbean Shipping Services, Inc. will report support to the Vice President, Operations and Vice President, Administration on related tasks. Responsibilities for the Transportation Coordinator include working with the pricing, rate quotes, safety and risk management, and sales.

Essential Duties and Responsibilities

  • Complies with federal, state, and local DOT regulation requirements by remaining current with regulations, policies, and laws regarding the Federal Motor Carrier Safety Administration (FMCSA)
  • Prioritizes, schedules and coordinates labor for each pick up and/or delivery with the General Warehouse Manager
  • Works closely with Risk Coordinator and/or Corporate Safety and Risk Manager to review all Owner/Operator and Local driver documentation (i.e.: pre-trip, post-trip, driver logs, etc.) for completion and are submitted in accordance with company procedure and guidelines
  • Audit/evaluate driver files for compliance, review MVR annually
  • Manages and oversees fuel management in accordance with company procedure and guidelines
  • Assists with accident and/or incident reports as needed, ensure the Risk Coordinator and/or the Safety/Risk Manager are aware of incidents immediately
  • Working knowledge of FMCSA and OSHA regulatory requirements to ensure compliance
  • Ensure Monthly and Weekly Facility/Safety Inspections are performed and forwarded to the Risk Coordinator
  • Assist corporate Safety/Risk Department in development and coordination of programs to reduce the risk of injury, accidents, claims, and perform investigations as needed
  • Works closely with Pricing Manager, Transportation Consultants, and Vice President, Operations to prepare, compile and input rate quote and rate proposal requests
  • Will serve as back up to the Pricing Manager with projects and duties as necessary
  • Inside sales and marketing consisting of making in-person sales calls on existing and potential accounts for inland transportation
  • Maintain a high level of customer service for internal and external customers
  • Other projects and duties as assigned

    Qualifications

  • Bachelor’s Degree in Business or related field
  • Minimum of 2-3 years’ experience in transportation industry
  • Bi-lingual (English/Spanish) is a plus
  • Strong computer skills

    Communication Skills:

  • Willing and able to work with all personality types, with a professional, helpful manner
  • Have the ability to effectively communicate and present information and respond to questions, both written and verbal, from internal and external customers as well as the general public

    Reasoning Abilities:

  • Employee must have the ability to solve practical problems and deal with a variety of variables in situations where only limited information exists
  • Ability to think logically with respect to customer inquiries with little notice
  • Must have the ability to analyze customer’s needs and troubleshoot

  • Prolonged periods of time reviewing documents and viewing computer data
  • Occasionally extend working hours to meet the needs of the customer, American Fast Freight, and Caribbean Shipping Services  
  • Coordinating a multitude of variables with employees to complete schedule demands
