Aveshka is seeking a Payroll Manager to be responsible for accurate and timely processing of payroll and labor from timesheets. The ideal candidate must be organized and detailed-oriented with a willingness to work in a fast-paced environment and communicate effectively with employees at all levels while maintaining the utmost discretion and confidentiality.  This is a full time role with the ability for remote work. 

Essential Functions

  • Lead and perform in-house payroll function to include the maintenance, management and processing of payroll operations
  • Perform accurate review of payroll prior to transmitting payroll vendor, including the review of changes
  • Ensure prompt and exact processing of changes
  • Support and review of tax/informational filings prepared by vendor and reconcile back to G/L, investigating variances and making corrections as necessary
  • Prepare management reports, including weekly, monthly, quarterly and year-end reports (gross payroll, hours worked, vacation accrual, tax deductions, benefit deductions, etc.)
  • Work with vendor’s Payment Services to ensure tax liability funding and quarterly tax filing is reconciled
  • Resolve escalated internal payroll issues
  • Lead the development and implementation payroll processes and procedures to improve operational efficiency
  • Serve as the administrator for the Time & Expense system (Unanet)
  • Review and process semi-monthly employee timesheets including corrections
  • Export Timesheets into the Accounting System and validate the labor to be posted
  • Manage Leave Accrual Plans
  • Process payroll in Third Party Payroll System (Ultimate Software), act as lead point person with Payroll services, and develop customized reporting to drive business strategy and reporting (BI).
  • Run various payroll reports- transmit files for 401K & HSA Plans.
  • Update Accounting System with payroll information and post.
  • Prepare payroll voucher for Finance & Accounting.
  • Monthly hourly reporting for SCA employees (Service Contract Act).
  • Responsible for registering in new tax jurisdictions & communicating information to Ultimate Software for setup in payroll system.
  • Validate Quarterly and Annual Reports- W2’s

Required Skills

• Bachelor’s degree in Accounting, Finance, or Business Administration or equivalent work experience
• 5+ years of relevant work experience, knowledge of both internal and outsourced payroll systems preferred
• Experienced and skilled in MS Office applications
Optional Skills

• Comprehensive knowledge of payroll procedures and payroll related tax filings
• Thorough knowledge of year end processing, amended returns, W2C, and quarterly adjustments
• Knowledge and understanding of payroll regulations (FLSA), wage/tax law, and record keeping/administration required
• Familiarity with Service Contract Act and payroll implications
• Strong problem solving skills, critical thinking, and analysis
• Ability to multi-task and be proactive in a fast-paced environment with frequently changing priorities, deadlines, and workloads
• Detail oriented with strong organization skills and exceptional attention to detail
• Ability to drive program efficiency and high levels of customer satisfaction
• Ability to participate in evaluation and implementation of new Accounting System and related impacts to Payroll and Timekeeping
