Aveshka is seekeing a Senior Executive Assistant to provide direct support to the Deputy Assistant Secretary (DAS). They will be required to manage all details related to the DAS’s schedule each day ensuring the DAS has all materials and information related to all meetings scheduled. The Senior Executive Assistant will be required to provide a daily briefing book to the DAS which includes any pertinent documents. The Senior Executive Assistant will be responsible for safeguarding personally identifiable information (PII) as it relates to the DAS’s schedule and administrative functions related to the management of an organization, and required to provide meeting notes, minutes, action items, etc as required to support the DAS.

 

Aveshka is supporting the Office of the Assistant Secretary for Preparedness and Response (ASPR). ASPR is a public health preparedness and emergency response organization in the Office of the Secretary at the United States Department of Health and Human Services. ASPR was created under the 2006 Pandemic and All Hazards Preparedness Act (and reauthorized in the Pandemic and All Hazards Reauthorization Act of 2013) in the wake of Hurricane Katrina to lead the nation in preventing, preparing for, and responding to the adverse health effects of public health emergencies and disasters. The ASPR serves as the principal adviser to the HHS Secretary responsible for providing integrated policy coordination and strategic direction with respect to all matters related to public health, medical preparedness, and deployment of the federal response for public health emergencies and incidents. The ASPR heads a Staff Division in the Office of the Secretary, serving as the Secretary's principal advisor on issues related to bioterrorism, and leads a collaborative approach to the department's preparedness, response, and recovery portfolio. In addition to this policy responsibility, the office of the ASPR also has operational responsibilities both for the advanced research and development of MCMs, and for coordination of the federal public health and medical response to incidents. The office of the ASPR serves as the lead official responsible for all federal public health and medical response to public health emergencies and incidents covered by the National Response Framework and National Disaster Recovery Framework.

The Office of Policy and Planning’s (OPP) vision is to provide inspirational, innovative and influential policy and strategic planning for public health emergencies. OPP’s mission is to lead policy development and analysis, strategic planning, and evaluation to ensure a prepared and resilient nation before, during and after public health emergencies and disasters.

 
 
 

Essential Functions:

  • Coordinate special projects such as white papers, reports, and briefings including edits and updates.
  • Provide project management support for complex and sophisticated projects.
  • Maintain records in accordance with all applicable regulations.
  • Prepare complete and accurate meeting summaries from interagency groups in support of ASPR-led committees. These may include meetings of subject matter experts and/or senior program managers.

Responsibilities:

  • Contribute to issue papers, agreements, reports and other related documents such as correspondence and memoranda for the record. These activities encompass advanced methodology for studies, review criteria, evaluation techniques, reporting methods, etc.
  • Assist with review and analysis of internal procedures and operating policies to provide evaluations, information, and written reports, document support for strategic plans or policies and other documents.
  • Support the development of standard operating procedures (SOPs) and processes for quality improvement.
  • Support the collection and submission of accomplishments and performance data.
  • Support OPP leadership with the monthly/quarterly meetings for the ASPR to include developing agendas, coordinating with speakers, preparing materials, collecting progress report data and developing reporting materials, and identifying areas for improvement that can be incorporated into the tracking and evaluation process.
  • Assisting in organizing and participate in meetings, interviews, conference calls, etc. with stakeholders and partners.
  • Support in the review and writing of executive correspondence and documents.
  • Demonstrate proficiency with office productivity software to include: Microsoft Word, Excel, Outlook, Power Point, Access, Project, and Visio.
