We are currently looking to expand our team and develop Ardon team members in all areas of core business functions.

We are seeking an Executive Assistant who shares the Ardon vision. This position will greet and assist visitors both in person and on the phone; provides administrative assistance to assigned Executive team, manager, and others as needed, to achieve the goals and objectives of the executive team and company as a whole.  This includes, but is not limited to, managing calendars, scheduling large group meetings both internally and externally, handling of confidential documents and information, customer service (emails, calls, in-person), coordinating travel, expense reporting, mail distribution, supplies management and catering.

Primary Functions:
01.    Greets guests, facilitates security sign in and provides support when needed in the reception area. 
02.    Provides administrative support for Executives (including Vice Presidents and President as well as others) on an as-requested basis, including preparing correspondence for both internal and external viewing.  
03.    Acts as a liaison between the various internal departments and external contacts when Executives are not available or out of office.
04.    Manages all travel arrangements for Executives and occasionally for the people who report to them.
05.    Maintains executive travel and vacation calendars.
06.    Manages PTO reporting for Executives. 
07.    Manages expense reporting for assigned Executives.
08.    Supports Executives by preparing all requested documents in a professional manner.
09.    Manages all new position requisitions. 
10.    Coordinates office supply orders.
11.    Maintains responsibility for organization of workflow room, to include putting away supplies in a timely manner. 
12.    Monitor and reorder or purchase standard lunch room supplies. 
13.    Maintains responsibility for organization of employee lunch room, to include making coffee, unloading dishwashers daily and periodic cleaning of fridge.  
14.    Manages and maintains a clean and orderly environment in all Ardon common spaces including meeting, conference and training room spaces.  This includes maintenance of all A/V equipment. 
15.    Responsible for onsite meeting arrangements, including scheduling, equipment set up, meeting preparations and clean up. 
16.    Coordinates with catering vendors, including set up and clean up following staff appreciation lunches, business meetings and working lunch engagements. 
17.    Assists in coordinating Ardon business forums; tracks invitations, RSVPs, sends reminders internally and externally, creates nametags for all guests, and keeps a current guest list. 
18.    Responsible for the coordination of requested company festivities (e.g. anniversary party, holiday party, potlucks, team lunches, etc.), including facility decorations, staff appreciation and celebration.   
19.    Support marketing & business development efforts, which may include the creation of documents, surveys and other projects as needed.  
20.    Assist with the documentation and tracking of marketing materials. 
21.    Follows the company HR policies, Code of Conduct and all department policies and procedures including protecting confidential company; employee and customer information attending work punctually and regularly, and following good safety practices in all activities.
22.    Performs other duties and projects as assigned.
