Administrative Assistant – CEME
 
This position requires a person who has a consistent high energy, a high level of organizational skills, is detail oriented, has a perennial “can-do” attitude and must display professionalism at all times. Important to this role is to project a commitment to excellence in every function and responsibility.
 
Responsibilities:
 
  • Screen calls and visitors to the  CEME, directing calls and visitors to proper department when necessary; monitor status of customer service inquiries.
  • Prepare reports and presentations.
  • Coordinate all correspondence and work.
  • Establish, maintain and revise work files, as requested.
  • Maintain the Sr. Director’s calendar, coordinate appointments and reservations, and make travel arrangements.
  • Maintain contacts and network, including communication records.
  • Gather information from other departments for fundraising efforts.
  • Prepare expense reports and organize PO/Invoice approvals for signature.
  • Coordinate publication implementation, assuring timely distribution.
  • Provide support staff services to committees and other department staff as assigned.
  • Serve as a liaison between staff and volunteers when needed.
  • Prepare documents and other materials for meetings; take minutes and actions and provide other administrative support as appropriate (e.g. room set up, food set up).
  • Process project mailings, including appeals and media mailings.
 
Qualifications:
 
  • Excellent customer service skills on the phone and in person.
  • Must possess reliable transportation.
  • Ability to maintain strict confidentiality and handle multiple priorities simultaneously.
  • Ability to work independently, answering correspondence and inquiries.
  • Excellent written and verbal communication skills including typing, editing, formatting and use of proper grammar.
  • Self-directed with  problem-solving capabilities, a positive attitude and professionalism.
  • Proficiency with Microsoft Office including Word, Outlook, PowerPoint and Excel along with the ability totype 60 WPM; comfortable with learning new technologies, technology savvy.
  • Ability to work with a variety of key administrative volunteers and staff.
