We are looking for an Office Manager to join our team. Reporting to the Director of Accounting, you will be responsible for providing information and reception service to all callers and visitors, while keeping the Chamber Office running smoothly on a day-to-day basis.

Here’s more about what you’d be doing at the Grand Rapids Chamber:

  • Furnish callers with information about the Chamber and the community
  • Greet walk-in visitors, furnish them with community or Chamber information and literature, and keep the office running smoothly
  • Answer mail and Internet requests for community and Chamber information
  • Work with Vendors to insure a positive relationship (carpet cleaners, coffee service provider, office suppliers, postman, UPS, FedEx, newspaper deliveries, print supply vendors & interior landscape vendor)
  • Work with Waters Corporation’s staff on all housekeeping needs
  • Work with Kent Communications (KCI) for daily mail pick up
  • Supervise Chamber conference room schedules, internally & Waters Corporation.
  • Back up to Business Services - Sign & Seal - Certificate of Origin. Work with U.S. Department of Commerce on rules and forms. Provide support services and initial contact/services for online submissions and complete manual processing for any shipments for the 5 identified countries that require a raised seal
  • Back up to Accounting Department – Log SBA purchases into database bi-weekly. Match renewal membership letters with invoices for sales/accounting upon request. Daily Data Interchange via SBA. Post SBA Data Interchange transaction orders. Assist with daily Batch Payments for checks, ACH, CC for both Foundation and Chamber. Provide payment receipts to members. Provide daily Dues Payment Report & All Payments Report to necessary leadership and teams
  • Responsible for maintaining current listing of staff home addresses and providing updated copies to Rick Baker & Waters Corporation (for building safety purposes) as changes in employment occur
  • Maintain current front desk manual.
  • Assist SCORE walk-in clients/SCORE workshops. Schedule conference rooms
  • Create purchase order/order all office supplies, including copy paper, stationery
  • Complete processing of Davenport Tuition Discount Requests

Here’s who we’re looking for:

  • Associates Degree or equivalent work experience
  • 1-2 years of experience in administrative responsibilities
  • Ability to handle multiple tasks, priorities and deadlines
  • Must have appropriate demeanor, aptitude and interpersonal skills to maintain effective work relations with those encountered on a daily basis
  • Excellent customer service/communication skills – both written and verbal
  • Typing – 40 to 60 words per minute
  • Ability to operate equipment such as a computer, switchboard, postage meter, copier, folder/sorter, and fax machine.
  • Proficient with Microsoft Office
