Job Title Project Coordinator
Job Description PURPOSE:
Consolidates and analyzes information from Product Planning Analyst to develop and maintain the overall project schedule and Work Breakdown Structure (WBS) for assigned large or complex projects. Develops and maintains system engineering and project milestone schedule. Coordinates key support functions to meet scheduled shipments in a quality and cost effective manner.

ENTRY QUALIFICATIONS:
BA or BS in business administration, Project Management, Construction Management, procurement, finance, operations, engineering or related field or equivalent work experience. PMP or CAPM certification is plus.
Must have good understanding of Project Management process. Thorough knowledge of organizational structure and inter-relationships between functions.
Eight plus years of experience in scheduling, materials, engineering, projects or financial analysis with exposure to the project management process.
Project controls experience preferred.
Must demonstrate ability to independently consolidate and analyze information from various sources to develop effective overall project schedules.
Must demonstrate exceptional negotiation, communication and interpersonal skills in order to interact with suppliers and co-workers in a team-based environment.
Must demonstrate effective report writing and presentation skills and strong organization skills and project planning ability.
Good understanding of internal and external economic factors such as costs, margins, and profit impact of decisions affecting the division’s business.
PC skills with proficiency in spreadsheet, word processing, relational database, project management software or similar mainframe.
Ability to handle multiple tasks and changing priorities in a fast paced environment.

TRAINING REQUIREMENTS:
Houston Operating Procedures, START Program, Synchronous Flow Manufacturing Techniques, Product Training, Systems Training (Team Center).
Advanced software training, print interpretation, and negotiation skills. Managing Projects In Organizations Training.

RELATIONSHIP RESPONSIBILITIES:
No direct reports, Acts as a mentor and provides technical guidance to less experienced staff. Assists with training, monitoring and coaching less experienced staff.

Frequent contact with Project Engineering, Sourcing, & Manufacturing Planners to develop & communicate project schedule & monitor status. Frequent schedule reviews with main suppliers.
Customer communication to ensure that project requirements are met and to clarify changes in requirements.
Begins developing customer relationships. Consults with and establishes working relationships with local and other site groups. Ensures cooperation and interaction across diverse stakeholders, both internal and external to the organization, often managing familiar and less challenging customers.

SCOPE OF RESPONSIBILITIES / ACCOUNTABILITY:
Directly responsible for order commitment, the scheduling of sales orders, on-time delivery, inventory impact and cash flow performance. Responsible for monitoring and controlling projects ranging from $1 MM to $40 MM .

Receives objectives and guidelines for projects. Receives guidance on special / complex features. Regularly develops solutions to non-recurring problems by independently analyzing, interpreting & evaluating various precedents and data. Regularly functions a significant contributor to solving complex problems. Able to work independently on the more varied and complex tasks.

Progress is reviewed with management. Reviews and checks the accuracy of others. Decisions made without precedents may have serious impact on schedule, cost variances, etc.

WORK ENVIRONMENT:
Office environment with frequent trips to the shop and to other offices in the plant. Some exposure to possible shop hazards including high noise, heavy machinery and shop traffic.

Frequent sitting and operating a computer. Fast paced atmosphere with multiple priorities and constant change. Some travel for vendor and/or client contact.

MAJOR RESPONSIBILITY AREAS:

E/N Duties and Responsibilities
E Coordinates and communicates project progress and cost requirements to the key support functions to meet scheduled shipments in a quality and cost effective manner. Acts as the secondary communication contact (internal and external) for the project in the absence of the Project Manager.
E Consolidates and analyzes information from Product Planning Analysts, Project Manager and System Engineer to develop the overall project Schedule (baseline time-phased schedule with proper constraints) and Work Breakdown Structure (WBS) for assigned project sales orders.
E Incorporates, Communicates and Manage frequent changes in customer requirements.
E Conducts and/or participates in Schedule Reviews within FMC and with main suppliers as appropriate to ensure that schedule requirements are being met and communicates progress to respective stake holders. Communicates regularly with Product Planning Analysts to determine shipping dates and to update the project schedule.
E Prepares reports for the Project Services Manager/ Manager including Client Reports such as summary schedule updates, status of deliverables, potential cost/schedule variance caused by client scope changes. Prepares FMC Management Reports such as monthly schedule updates, Project Status S Curves and potential cost/schedule variance (internal and external).
E Analyzes the project schedule, monitors progress and highlights potential cost/schedule variances. Recommends Corrective Action Plans for Project Management approval.
E Maintains change order inquiry, request and approval log to ensure that all changes are captured.
E Ensures that the accounting process, including revenue and cost recognition and sales order project activities are compliant with FMC’s WBS.
N Trains, coaches, mentors and reviews the work of less experienced project personnel as assigned.
N Assists with the development of Engineering and Project Management Resource Plans.
