JOB SUMMARY
Coordinates implementation and ongoing operation of the records and information (RIM) program by providing training and regular employee updates on the RIM program.  Acts as a subject matter expert on all facets of the RIM program including records identification, determination, extraction and deletion.  Uses related systems and databases to expedite work related to the RIM program.
ESSENTIAL DUTIES & RESPONSIBILITIES
  • Provides training to peers, leadership and support staff in the identification, classification, indexing of records; provides training and user assistance on the corporate record archival systems; provides training to leadership and coordinates efforts to meet Department of Defense (DOD) requirements for annual verification of vital records inventory.
  • Provides assistance and guidance to customers with respect to records retention classification and determination.
  • Administers the transfer and maintenance of physical record inventories within the Records Management Department storage facilities; ensures proper identification and security are established before retrieving archived records.
  • Responds to customer requests for records; may conduct complex database searches for information, retrieval of physical records and delivery of copies to the requestor either electronically or hard copy..
  • Evaluates and recommends database enhancements to improve the software search and retrieval services.
  • Provides research of legacy records to identify those records eligible for destruction.
  • Assists in the destruction of records which have met their legal retention dates.
  • Assists customers in the analysis of electronic information systems and certification of electronic records systems.
  • Supports development and roll-out of RIM Program surveys and supports internal outreach activities, including developing articles to keep company informed on records management initiatives.
  • Collaborates with designated department record coordinators on records management needs.
  • REQUIREMENTS
    • Bachelor's Degree in related field.
    • Minimum of two (2) years of experience in records management required.  Specialized knowledge of records management principles, best practices pertaining to management of corporate records and understanding of State and Federal regulations on records management. (DOD, DOT, ISO, etc.)
    • Experience in development of taxonomies and file plans required.
    • Experience in utility industry preferred.
    • Experience in fulfilling a lead technical role in the development/delivery of Information and Records Management products and services or in supervising functional RM organizations preferred.
    • Experience with implementation of RIM Program, records retention policy and/or software preferred.
    • Excellent writing, editing and presentation skills.
    • Possesses sound analytical problem-solving and documentation skills.
    • Strong working knowledge of Microsoft programs and proficiency or willingness to learn content around records management applications.
