Career Evolutions is searching for an Office Manager with a medical device company in Scottsdale, AZ. It’s a direct-hire, full-time opportunity paying up to $60,000 + benefits.

You will be responsible for office administration, billing and accounts receivable tracking for orders and projects for the company. You will also coordinate the efforts of internal team members to ensure timely billing and customer payments as well as provide administrative support to the executive team.
You will setup new project files for Project Managers and provide assistance to Project Managers / Service Manager with paperwork flow at project or service call completion. Also, you are responsible for processing invoices for all jobs, service calls, orders & repairs in QuickBooks Enterprise. You submit and track invoices processed to customers through EDM system and process credit card transactions.
You are responsible for maintaining weekly A/R aging reports, create monthly customer statements and make collections calls. And, you will maintain pricing and updates in Salesforce and QuickBooks and work closely with Senior Accountant to ensure proper credit of customer payments and Accounts Payable (A/P).
You process monthly sales reports, quarterly recycle fee report, new customer account approvals, and new vendor set up as well as maintain customer list. You also provide ongoing administration of office / facilities services and procure supplies and equipment as appropriate. Maintain onsite file/records systems and procedures documentation. Assist Warehouse Manager with data entry in Salesforce. And will complete special projects, reports, and other marketing and administrative tasks as needed.
High School Diploma or equivalent, Associates degree or Bachelor’s a plus
Ability to thrive in a fast-paced, active environment
Ability to communicate difficult/sensitive information in a tactful manner
Ability to effectively apply our methodology and enforce billing standards
Ability to ensure sales and project documents are complete & maintained
Diligent, successful day-to-day interaction with Team Members
Ability to take ownership of order and apply team approach to problem resolution
Hands-on working experience in QuickBooks, Salesforce, and Google Suite
Strong work ethic and ability to work M-F, 40 hours per week
Excellent attention to detail, organizational and prioritization skills
