Description

High profile, and prestigious downtown corporation has an immediate opening for a polished, professional and personable Executive Assistant to provide high-level administrative support to the Executive team. 

The Executive Assistant must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. 

Requirements

  • Provides comprehensive support services to a team of busy executives that ensures a professional, responsive and effective experience with the organization as a whole.
  • Completes a broad variety of administrative tasks including managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings. These Administrative Task for the executives include both personal matters and professional matters that need to be handled in a confidential nature.
  • Plans, coordinates and ensures the team's schedules are followed and respected.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the President, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
  • Provides a bridge for smooth communication between internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff.
  • Provides sophisticated calendar management. Prioritizes inquiries and requests while troubleshooting conflicts with little guidance; makes judgments and recommendations to ensure smooth day-to-day engagements.
  • Administers correspondence, manages incoming calls, and prioritizes phone messages, emails and mail. Handles all calls and visitors with grace, sophistication and professionalism.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.

Qualifications

  • High level of professionalism and the ability to interact comfortably with all levels of management, both inside and outside the organization
  • Exceptional written, verbal, and interpersonal communication skills
  • Attention to detail and accuracy;
  • Proven administrative and project management skills;
  • Advanced knowledge of Microsoft Office Suite 
  • Bachelor’s degree
