Talent Orchard LLC is the retained recruiting partner for Melinta Therapeutics, we are managing the search on behalf of Melinta for a Contract Site Coordinator/Administrative Assistant, based at a research facility located in New Haven, CT.

Job purpose

This role is to cover for someone on leave and is anticipated to last 4 months. This is not your ordinary office receptionist or administrator position, it is more diverse, challenging and interesting. The site includes research facilities including laboratories which involves a higher level of security awareness as well as interaction with scientific professionals. If you are well organized, instinctively curious, excited to learn new things and have a great attitude, then this contract role will lead to really broadening your capabilities.

The core function for the site coordinator is to keep everything running smoothly at the research location. From opening the doors at 8am, through ensuring the core team has the resources and help they need, through to organizing travel and greeting people from other company locations or who are clients, there is never a dull moment!

Duties and responsibilities

  • Greet and welcome visitors while directing and announcing them accordingly.
  • Manage all office supplies for the location including ordering.
  • Partner with the IT and Facilities departments and representatives on any issues, including arranging technology for visitors who may be presenting.
  • Be the primary interface for the team when they need to arrange travel, hotels etc..
  • Provide administrative support within a Microsoft environment to site leaders.
  • Proactively seek out and offer support to team members or visitors.
  • Ensure only approved people can access the Lab and research areas.
  • Be the all-around team player ensuring needs are met and the team is supported.
  • Receive, distribute and prepare mail/packages for UPS, FedEx and USPS.
  • Assist with clerical requests as needed.
    • Print, copy, scan, assemble and file documents.
    • Assist with typing, formatting and reviewing documents/presentations
    • Scan business cards
  • Cater breakfast and lunch for meetings as needed.
  • Interact with Administrative Assistants in other Melinta locations as needed.
  • Interact with HR to ensure good on-boarding of new employees at site.
  • Interact with internal legal counsel (based in Morristown, NJ) and external Intellectual Property (IP) counsel on administrative items regarding the IP estate of the Company.

Qualifications

  • Proficient with Microsoft Office Suite
  • Fast learner with natural inquisitive mindset
  • Professional appearance
  • Excellent communication skills both written and verbal
  • Ability to organize, multitask and prioritize
  • High school degree; additional qualifications will be a plus. A person with a science degree seeking temporary work, may find this a particularly interesting assignment considering the research environment.

Working conditions

  • Professional office and laboratory environment.
  • Expected core hours 8-5, may need flexibility on occasion.
