Description

We are looking for a motivated, highly organized Executive Assistant to provide administrative support to a team of busy and high flying executives CEO of a successful Providence based company. The ability to multitask, juggle priorities and remain calm and is esential. 

Responsibilities:
• Manage & Prioritize high volume email
• Manage calendar, schedule all internal/external meetings and appointments and coordinate all calls
• Coordinate travel arrangements and prepare detailed itineraries, assist in arranging for travel visas as necessary
• Maintain an overall awareness of the executive's business activities and the needs that are associated with each event
• Independently creating well-organized, grammatically correct memos and reports for distribution to internal and external stakeholders
• Absolute discretion when dealing with confidential matters
• Preparing materials for meetings and special projects in an organized and prompt fashion
• Work cooperatively with and support other administrative staff as needed (including reception)
• Run errands if necessary

Education/Experience:
• 3+ years in an administrative support role, ideally supporting a C- Level Executive
• Bachelor's degree or equivalent preferred

Skills and Competencies:
• Advanced knowledge of Microsoft Office (Outlook, Excel, Word, Power Point) and of computers in general
• Experience booking travel while managing last minute itinerary changes
• Experience managing & prioritizing high volume email for busy executives
• Ability to multi-task, work well under pressure, and have excellent time management skills
• Detail oriented and organized with a strong commitment to accuracy
• Excellent communication skills with all methods of communication, including text, email, and written
• Capable of relaying important messages
• Ability to establish strong working relationships with senior management and all levels of the organization
• Must be an independent problem solver: do what is needed, not just what is asked
• Must be a self-starter and fast learner that can work independently with little or no supervision
• Strong commitment to timeliness and meeting deadlines
• A strong work ethic, a positive attitude, and a willingness to work
