WORKPLACE/EDUCATIONAL REQUIREMENTS:

  • Minimum education requirement is Associate’s degree in accounting and at least 4 years of accounting experience, with 2 years non-profit or construction. Bachelor’s degree in accounting and 2 years experience, is preferred. 
  • Previous experience in accounting, grant billing, report preparation is required.  
  • Must be able to manage multiple priorities to meet strict deadlines. 
  • Proficiency working with Microsoft Excel and accounting software is required.   
  • Experience with Sage 50/Peachtree accounting software is a plus.

POSITION SUMMARY:

The Accounting Assistant is responsible for assisting the Finance Director in achieving Finance Department goals and objectives.  The position assists with accounts payable, cash receipts, payroll, grant reporting, financial statements, budget preparation, and annual audit schedules and provides administrative support for the Finance Department.

PRINCIPAL JOB DUTIES:

  1. Process accounts payable, track expenditures for grants and print checks.
  2. Process cash receipts into the accounting software.
  3. Assist in preparing monthly and annual financial schedules.
  4. Assist in preparing the annual operating budget.
  5. Maintain a working knowledge of grants that have been awarded to the organization.
  6. Assist with preparation of monthly invoices/quarterly reports for multiple grants. This includes assembling information from files and other departments, scanning/copying documents, running reports in the accounting software, and preparing grant billings for review by Finance Director.  Reconciliation between source documents, is required.
  7. Track grant billings and payments.
  8. Maintain confidential grant/contract files.
  9. Other duties as assigned by the Finance Director.
  10. Position indirectly supervises volunteers.

KNOWLEDGE AND SKILLS:

Position requires ethical conduct, time management, organization skills, financial management, grant management and personal effectiveness/credibility. Individual must possess computer skills in Excel, Accounting software and grant database system. Position requires awareness of feminism and sensitivity to the societal issues of violence against women and children. 

INTERNAL CONTACTS:

Internal contacts include staff members, volunteers and clients.

EXTERNAL CONTACTS:

External contacts include vendors, staff members of other agencies, auditors and members of the community who have or may have an interest in the Client.

PHYSICAL DEMANDS:

The physical demands described are representative of those that must be met by an employee to successfully perform the essential functions this job.While performing the duties of this job, the employee is frequently required to stand, walk, bend and reach file cabinets.

WORKING HOURS AND CONDITIONS:

This job operates in a professional office environment. Some flexibility in hours is allowed, but the employee must be available during the “core” work hours of 9:00 a.m. to 5:00 p.m. Occasional evening and weekend work may be required as job duties demand. No travel is expected for this position. Work location is clean and fully climate controlled.
