Summary:  Internal Auditor-Collections Specialist works under the direction of the Corporate Director of Operations- Internal Audit & Compliance.

The Internal Auditor aspect of the role is separate in structure and accountability to Financial Aid operations and serves as an independent internal quality review of operational decisions and application of policy, procedure and Federal/state regulations relating to student funding. Internal audits will include reviewing for adherence to compliance and regulatory processes for all students across all funding sources and related financial transactions.  The position will use professional auditing techniques, independently assessing if The College of Health Care Professions complies with all relevant regulations. The role will also determine if the performance, program policies and procedures of The College of Health Care Professions are met, through a review of all campuses. Assignments may vary in length based on requirements of each audit. Overnight travel may be required.

The Collections Specialist aspect of the role is responsible for day-to-day collections efforts.  This will include contacting assigned students in regards to their outstanding balances, receiving student payments, maintaining records related to collections efforts, updating CVUE as relates to students accounts and monitoring past due cash.   The role will focus primarily on Out of School students.

 

In carrying out these duties and responsibilities of this position, the Internal Auditor-Collections Specialist must ensure consideration and implementation of the CHCP philosophy:

Key Job Elements:

Internal Audit elements (50% focus)

  1. Audits Student funding streamsfor all campuses (Active, Grads, and Drop Students)
  2. Responsible to ensure all campuses are following regulations from the Department of Education as well as state/agency bodies.
  3. Plans and performs routine audits related to financial aid, compliance within financial aid and efficiency within financial aid, as directed
  4. Maintains archives of completed audits, reporting and communications
  5. Appraises the adequacy of corrective actions taken to improve deficient conditions
  6. Properly documents in the audit report, the procedures performed to verify audit conclusions and recommendations
  7. Ability to analyze various accounts to related to audit requirements
  8. Attends and may conduct meetings relative to assignments or reviews
  9. Remains current on policy changes related to Financial Aid, with ABHES, TWC, VA the DOE, as well as The College of Health Care Professions.
  10. Maintains regular communication with the Corporate Directors of Financial Aid regarding trends of concerns found
  11. Updates other functional areas of management, on any policies and procedures changes with Financial Aid from ABHES, TWC, VA and the DOE
  12. Attend trainings to stay current in updates to DOE, VA, TWC regulations, and policies and procedures
  13. Participate in the creation or revision of auditing programs.
  14. Communicate with School Presidents and Corporate Management to keep them informed of progress and results for campus audits
  15. Work with electronic archives and related software to complete audits remotely
  16. Maintain clean and accurate financial aid files which demonstrate institutional compliance with federal, state, and accreditation agency requirements as well as internal policies and procedures.
  17. Comply with departmental procedures and policies, as well as regulations or rules imposed by federal entities, state agencies, and/or accrediting bodies.
  18. Perform related work as required and conduct special reviews and assignments as directed

Collection Specialist elements (50% Focus)

  1. Provide exceptional customer service to active and inactive students.
  2. Prioritize collections efforts based on contact strategy with consistent follow up to maximize overall total collections.
  3. Accounts Receivable duties to include completing the posting of cash and credit card payments.
  4. Communication with students to include establishing company approved next steps to bring their student account current.
  5. Ability to evaluate and make settlement decisions on student accounts within established guidelines.
  6. Maintain complete and accurate records within the company’s internal operating system CampusVue.
  7. Utilize the Master excel tracking sheet, to provide additional reporting requirements. 
  8. Ability to reduce out of school collections.
  9. Locate students that have been difficult to reach through skip tracing efforts
  10. Other duties as assigned.

Job Requirements; Knowledge, Skills, Abilities, and Accountability:


  1. a) Associate’s degree in a related field required; or combination of education and experience.
    b) Previous experience working with and technical knowledge of student financial aid programs.
    c) Basic knowledge of federal and state regulations which may impact Title IV funding.

d) At least four years of experience working in a post-secondary institution.

e.) Basic knowledge of CampusVue database (preferred)

f.) Prior call center, admissions, or other collections experience demonstrating ability to be effective in a call production environment.

  1. Skills:

a) Excellent written and verbal communication skills.
b) Strong interpersonal skills with both faculty and student populations.
c) Superior organizational and problem-solving skills.
d) Strong basic computer software (i.e., MS Office) skills as well as exposure to more concentrated financial aid software programs.

  1. Abilities:
  • Ability to read, comprehend, and comply with federal and state laws, regulations, and policies pertaining to the provision of student financial aid.
  • Ability to interact effectively as a member of a team and work collaboratively with other departments.
  • Ability to listen to customers (e.g. students, staff, etc.) and to understand and respond positively to their requests
  • Ability to work without close supervision and to set one’s own priorities and work schedule
  • Able to multitask
