Talent Orchard LLC has been retained as the recruiting partner for a growing Pharmaceutical company based north of Chicago. We are managing a search on behalf of our client for a Senior Payroll Administrator.

Our client has a strong suite of drug products in commercialized use and development and is focused upon one of the most significant areas of need within public health, the development of new strains of antibiotics.  Their mission is to meet the continually evolving threat of bacterial infections by discovering, developing, and commercializing a continual stream of novel antibiotics.

Our client is expanding its Finance & Accounting department to ensure all core financial controls and platforms are adequately supported as the firm continues on a rapid and aggressive growth strategy. The firm has moved quickly from being a privately held firm to a large and growing publicly traded organization and is investing in its Illinois based Finance team. As part of the strategy an opportunity has arisen for an experienced Payroll Administrator with prior work supporting a multi-State operation within a publicly traded organization. Prior experience with ADP Workforce Now is strongly preferred.

This is an amazing opportunity to join a Finance and Accounting department in the early stages of transitioning from Private to Public operations, while also experiencing significant growth both organically and via M&A. It is highly likely that while your initial focus will be the effective operation of Payroll, you will quite quickly find yourself exposed to other tasks and challenges, leading to significant growth potential.

Are you ready to;

  • Enter and monitor payroll transactions accurately and timely in a semi-monthly payroll system.
  • Follow established payroll procedures to ensure accurate payroll processing and reporting.
  • Understand proper taxation of employer benefits such as 401k, health savings account, cafeteria plans, stock options, bonuses, etc.
  • Coordinate with HR team on employee benefits administration and general payroll inquiries.
  • Calculate and enter employee garnishments in accordance with state specific regulations.
  • Daily research, response and interaction to employee questions regarding paychecks, taxes, W2's, stop payment requests, etc.
  • Maintain daily payroll operations while providing excellent customer service (in-person, phone and via email) to all stakeholders.
  • Reconcile payroll prior to transmission and validate data before payroll is finalized.
  • Develop ad hoc payroll and operational reporting as needed using Excel.
  • Communicate clearly with payroll service provider to resolve questions and problems within the system.
  • Assist with various internal and external payroll audits.
  • Remain current on new payroll legislation.
  • Work closely with other team members to ensure all team goals are met while ensuring assigned duties are completed timely.
  • Ensure accuracy of payroll reports and quarterly/annual payroll tax filings and W-2’s.
  • Other projects/duties as assigned.

Your background will likely include;

  • An Associate’s degree or certified payroll professional required, higher educational qualifications preferred. Commensurate relevant experience will be considered in lieu of secondary education.
  • Strong interpersonal and customer service skills
  • Clear verbal and written communication with employees, internal partners, and vendors.
  • Works as a team player in a multiple location team environment.
  • Working knowledge of and ability to interact with various state agencies to establish/maintain appropriate tax withholdings.
  • Ability to deal sensitively with confidential material.
  • Multi-tasking, problem solving, analytical, and organizational skills.
  • Strong attention to detail.
  • Working knowledge of MS Excel.
  • Prior experience with payroll systems, ADP highly preferred
  • 5+ years of experience processing multi-state payroll in a company exceeding 300 employees a plus.
