Busy Providence based firm is looking for an energetic Administrative Assistant that is highly organized and will manage multiple projects at any given time. You must be able to communicate effectively and frequently in this role, on the phone, via email, and in-person. This is a professional office and requires an individual that will assist the Senior Management Team with administrative duties and will represent the company in a professional manner.


  • Schedule and organize activities such as meetings, travel, conferences and company activities for all members of the company.
  • Assist with conference room setup and prepare devices necessary for meetings.
  • Protect the integrity of all confidential client data.
  • Answer phones. Take messages or fields/answers all routine and non-routine questions.
  • Act as a liaison with other companies and outside agencies, including high-level staff such as CEOs, presidents and senior vice presidents. Handles confidential and non-routine information and explains policies when necessary.
  • Maintain the organization of the lobby for visitors.
  • Greet visitors to the office and ensure they follow security protocols checking in.
  • Maintain and update filing system for the company.
  • Retrieve information from files when needed.
  • Sort and distribute mail.
  • Draft written responses or replies by phone or e-mail when necessary. Respond to regularly occurring requests for information.
  • Responsible for routing incoming and outgoing mail.
  • Maintain company correspondence, accounting files, and scan documents when needed.
  • Provide typing support for front office.
  • Verify packing slips.
  • Invoice customers/clients.
  • Schedule and/or follow-up with office supply and maintenance vendors as necessary.
  • Assist Accounting (Completed jobs processing, Billings, Deposits, and Adjustments to Daily Hours).
  • Scan documents for Quality Department.
  • Miscellaneous errands as directed.


  • Associates degree
  • Must be proficient in Excel, Word, PowerPoint and Outlook.
  • 2 to 3 years of administrative experience including organization, coordination and performance of administrative projects for executives.
  • Prior experience working on multiple projects with competing and concurrent deliverables.
  • Must have strong organizational skills and the ability to handle multiple deadlines with an intense attention to detail with accuracy and consistency.
  • The ideal candidate also must be a responsible self-starter, analytical thinker, and comfortable in a results-driven business environment.
