Executive Administrative Assistant
M-F 8 AM - 5 PM
Downtown Jacksonville
$18 - $22/hour

This position is responsible for performing all administrative functions for the company. Huge opportunity for growth within the organization.

Primary Duties/Responsibilities:

  • Assist Accounts Payable team on an Executive Assistant level, with various duties such as, lien releases, certificates of insurance, weekly check runs, expense approvals and obtaining w-9's.
  • Maintain apartment lease agreements for multiple office locations.
  • Create and edit documents in Microsoft Word
  • Update accounts and job spreadsheets in Microsoft Excel
  • Mail documents in a timely manner via USPS, UPS and FedEx
  • Retrieve mail from mail box, date and a/p stamp each item. Distribute mail and fax's, as appropriate
  • File paperwork as required
  • Maintain all office inventory and order uniforms when needed
  • Office supply orders, including break rooms supplies and toner for all printers/copiers
  • Maintain vehicle files & maintenance records, registrations
  • Maintain equipment records for company equipment
  • Coordinate and schedule travel arrangements for executives and superintendents (hotels, transportation and airfare etc.)
  • Operate office equipment including multi-function printer, copiers, fax, scanners, mail meter, multi-line phone system
  • Update company electronic calendar
  • Receive guests and deliveries
  • Must be willing to answer light phones and perform various administrative tasks
  • All other Administrative duties as assigned

Preferred Qualifications

  • At least 5 years’ office experience
  • 2-3 years working experience with accounting software
  • At least 2 years of college
  • Past experience working for the government or working for a government contractor

Minimum Requirements:

  • At least 3-5 years in office environment
  • Working knowledge with Windows 8 or 10, Microsoft Word, Excel, Outlook & Power Point 2013
  • Working experience with all office equipment
  • Detail oriented, organized, professional
  • Extremely computer literate and produces accurate work product
  • Learns and adapts quickly
  • Must be able to multi-task and prioritize work
  • Must be friendly, customer service-oriented, high energy, and willing to work as part of a team
