Administrative Assistant
$15-16/hr
Downtown Jacksonville, 32202
M-F 8 AM - 5 PM, 1 hour for lunch

A local commercial construction company with an employee based company culture, is seeking a career-minded individual to assist the Controller and accounting staff as well as maintaining paper and electronic files. This position is responsible for performing all administrative functions for the company. Our client is a growing construction contractor at various military installations. 

Duties/Responsibilities:

  • Assist AP with, lien releases, and certificates of insurance, weekly check runs, expense approvals, obtaining w-9s and other various duties
  • Maintain apartment lease agreements as well as satellite office lease agreements
  • Routinely create and edit documents in Microsoft Word
  • Update accounts and job spreadsheets in Microsoft Excel
  • Mail documents in a timely manner via USPS, UPS and FedEx
  • Retrieve mail from mail box, date and a/p stamp each item. Distribute as appropriate
  • File paperwork as required
  • Maintain Uniform inventory and order when needed
  • Office supply orders, including break rooms supplies and toner for all printers/copiers
  • Maintain vehicle files & maintenance records, registrations
  • Maintain equipment records for company equipment
  • Travel arrangements for executives and superintendents, hotels and airfare etc.
  • Operate office equipment including multi-function printer, copiers, fax, scanners, mail meter, multi-line phone system
  • Distribute company faxes
  • Update company electronic calendar
  • Receive guests and deliveries
  • Answer phone
  • All other Administrative duties as assigned

Minimum Requirements:

  • At least 3-5 years in office environment
  • Working experience with Windows 8 or 10, Microsoft Word, Excel, Outlook & Power Point 2013
  • Working experience with office equipment
  • Detail oriented
  • Learns quickly
  • Must be able to multi-task and prioritize work
  • Must be friendly, customer service-oriented, high energy, and willing to work as part of a team

Preferred Qualifications

  • At least 5 years’ office experience
  • 2-3 years working experience with accounting software
  • At least 2 years of college
  • Past experience working for the government or working for a government contractor

    Additional Compensation:
  • Benefits available 1st of month following 60 days probationary period (Paid holidays, 50% employer contribution to medical & dental premium, Vision 100% employee paid, Life/AD&D and LTD 100% employer paid.)
  • Downtown parking paid by employer
