Job Objective:

The Executive Administrative Assistant will report directly to the President. The Executive Administrative Assistant will perform a variety of administrative tasks to include preparation, scheduling, reporting, and tracking information. Will prepare analysis of data and check and follow up, as needed. Review and answer correspondences. Preform clerical duties such as keyboarding, scheduling, and mail. Manage office supplies and activities associated with running an office.

Minimum Requirements

Education: High School diploma or equivalent, required.
Experience: Minimum 6-10 years in the development of good client-oriented skills formed from working regularly with internal and external clients. Plus, experience working for senior management.
Specific Knowledge: Customer service orientation, telephone etiquette, computer skills. Excellent verbal and written communication skills.
Business Understanding: Broad understanding of organization operations, organization procedure and personnel. Must be able to discretely handle highly confidential information.

Areas of Responsibility:

  • Safety: Support our team members and work to ensure their understanding of, and ability to support a strong safety culture.
  • Customer Satisfaction: Essentially this position exists to ensure efficient administration of office management duties and senior management support to allow the organization to support customer needs.
  • Assist in the coordination of communications, events, and meeting, including preparing and sending out mailing, handling invitations and receiving, recording, and classifying response.
  • Provide meeting support and administration, including arranging conference calls, organizing rooms and coordinating schedules
  • Make travel and accommodation arrangements for staff, including overseas travel and drafting itineraries.
  • Monitor allocated managers' phones, voice messages and e-mails
  • Provide data entry support to allocated staff  
  • Office Management - maintain adequate level of office supplies, furniture, etc. in the office
Required Skills
